Ivy Sanctum LLC respects the privacy of applicants, families, and visitors who entrust us with academic, application, and personal information. This Privacy Policy explains the information we collect, how we use it, and the choices available to you.

Information You Provide

When you contact or engage Ivy Sanctum, you may provide information such as your name, email address, school, grade level, academic record, GPA, testing, activities, awards, target schools, essays, recommendation-related material, application drafts, transcripts, and other information relevant to the advisory work you request.

We also receive the communications, documents, and instructions you choose to send during an engagement.

How We Use Your Information

We use submitted information to evaluate application materials, provide admissions strategy and written advisory work, communicate with applicants and families, administer engagements, process transactions, maintain business records, improve our services, protect the integrity of the site and our systems, and comply with applicable legal obligations.

Application Materials

Transcripts, essays, activity lists, recommendation materials, application drafts, and related documents are treated as confidential client materials. Access is limited to the work required to provide the requested engagement and to service providers used to support that work.

Ivy Sanctum may use de-identified patterns, general admissions principles, and aggregated insights developed through its advisory practice in research, publishing, or educational material. Identifiable client material is used publicly only with permission.

Software and AI-Assisted Tools

Ivy Sanctum may use professional software and AI-assisted tools to support document analysis, organization, research, formatting, drafting workflows, and business operations. These tools are used in connection with the requested advisory work, with information limited to the scope reasonably required for that purpose and available privacy controls applied where appropriate.

Payments

Payments may be processed through Stripe or another designated payment provider. Payment providers receive the information required to complete and administer the transaction under their own privacy practices. Ivy Sanctum does not receive or store the complete payment-card credentials entered into a third-party checkout.

Website and Technical Information

The site is currently delivered through third-party infrastructure, including GitHub Pages and Cloudflare. Infrastructure providers may process technical information such as IP address, browser or device information, request data, and security information as part of operating and protecting their services.

Analytics and Advertising Measurement

Ivy Sanctum may use analytics and advertising-measurement technologies, including platform pixels or similar tools, to understand site performance, measure campaign effectiveness, and improve acquisition strategy. These technologies may receive browser, device, referral, interaction, and similar technical information according to the settings and privacy practices of the relevant provider.

Service Providers

We may share information with service providers that support website hosting, infrastructure, email, document handling, payment processing, analytics, security, professional software, and business operations. Information is shared according to the function those providers perform for Ivy Sanctum.

Legal and Safety Purposes

Information may be disclosed when reasonably necessary to comply with law, legal process, regulatory obligations, enforce agreements, protect the rights or safety of Ivy Sanctum or others, or investigate fraud, abuse, or security concerns.

Retention

Application materials and communications are retained for the duration of the engagement and for a reasonable archival period supporting continuity, business records, dispute resolution, and legal obligations. Information may subsequently be deleted or de-identified when its continued retention no longer serves a legitimate business or legal purpose.

Your Choices

You may contact Ivy Sanctum to request access to, correction of, or deletion of personal information held directly by us. Requests are handled in accordance with applicable law and any legitimate record-retention obligations.

Applicants Under 18

Applicants under 18 should include a parent or legal guardian in formal engagement communications. The Ivy Sanctum website and services are intended for users age 13 and older.

If Ivy Sanctum learns that personal information from a child under 13 has been submitted without the authorization required by applicable law, we will take appropriate steps to remove that information.

International Visitors

Ivy Sanctum is a United States business. Information submitted from outside the United States may be processed and stored in the United States and in other locations where our service providers operate.

Security

Ivy Sanctum uses reasonable administrative and technical measures appropriate to the nature of the information handled. Internet transmission and electronic storage involve inherent security risks, and security practices are reviewed as the business and its systems develop.

Changes to This Policy

This policy may be updated as Ivy Sanctum's services, technology, or legal obligations evolve. The effective date at the top of this page identifies the current version.
